Who feels it most

Where this one earns its keep.

These industries commonly have this workflow. Fit depends on your volume, tools, exceptions, and the cost of the manual work; these links are examples of suitability, not a list of customer deployments.

The arithmetic

What a weekend in the inbox costs.

Start with your actual workload and costs. Treat the calculation as a way to test the opportunity, not a promise of revenue or savings.

What to count. qualified leads receiving a faster reply × the incremental conversion rate × gross profit per job. Use gross profit rather than total revenue when valuing recovered business. Subtract software, maintenance, and human review costs, and avoid counting the same saved time twice.

The ROI calculator models the same shape across a whole team, and its assumptions are published in full underneath it. The number that actually matters comes out of an AI Readiness Audit, which measures your workflows instead of averaging them.

Inside the workflow

From inquiry to a controlled next step.

Agree what counts as a prepared draft and what counts as a sent response. Name the included channels, eligible automatic sends, and the requests that must wait for a person.

Capture the request once

An illustrative workflow starts with a web inquiry. It records the requested service and available contact details, checks for an existing customer record, and routes the inquiry to its owner. Incomplete or duplicate requests need an explicit handling rule.

Prepare a reply from approved material

Use the service description, availability rules, and published information agreed in scope. The reply may ask for missing details or suggest the next step. It should not invent a quote, guarantee an appointment, or make a commitment outside its authority.

Choose draft-only or bounded sending

In draft-only mode, a person reviews and controls the send, so customer response time includes the wait for that reviewer. If automatic sending is in scope, limit it to eligible requests and approved content; specify escalation conditions, follow-up limits, and stop rules. Communication preferences and requests to stop must carry across the sequence. Neither mode carries a blanket one-minute response guarantee.

Measure the whole response path

Track draft preparation time separately from the time a useful response is sent. Include successful routing, reviewer effort, exceptions, and the resulting appointment or next action. Compare similar inquiries before and after launch. A prepared draft or quick acknowledgment alone does not demonstrate a recovered sale.

How it gets built

Discover, build, evolve.

Define the operating boundary before choosing a model or a tool. Your written scope connects the workflow to the systems, decisions, and people it depends on.

Discover. Start with a free workflow plan for an initial written recommendation based on what you share. Use an AI Readiness Audit when the workflow, tools, and exceptions need deeper investigation, or discuss direct sprint scoping if the work is already defined.

Build. Agree the scope and fixed quote before work begins. Define routine actions that may run automatically, decisions requiring human approval, and the tests the workflow must pass.

Evolve. Once it is live it needs watching: what it handles, what it escalates, what changed in your business since. That is Managed Services, and it is optional.

What it costs

Delivered through AI Implementation Sprint.

The range below is for the delivering service, not a per-feature price. Your quote identifies the capabilities, integrations, and operating requirements included in the engagement.

An AI Readiness Audit runs $3,500–$8,500 and tells you whether this build is the right first move. This capability is delivered through AI Implementation Sprint; several related capabilities may share one scoped engagement. $18,000–$60,000, quoted fixed in writing before work begins.

Fair questions

Instant Lead Response, asked plainly.

01Is this just an autoresponder?

The workflow prepares a reply to the actual enquiry using your approved service information, rather than only sending a receipt acknowledgment. Follow-up drafts use the same boundaries. Whether any message sends automatically or waits for a person is agreed in scope.

02Does a person still see the leads?

Yes. Your team can see the enquiries, prepared replies, sent messages, and handoffs. Anything outside the approved boundary goes to a person. If automatic sending is included, only eligible enquiries may receive approved content without individual review; the scope defines escalation conditions, follow-up limits, and stop rules.

03What if we do not want it replying on its own?

Choose draft-and-approve: the workflow prepares a reply, and your reviewer decides whether and when to send it. This can reduce writing effort, but the customer still waits for review. We measure draft preparation separately from time to a sent response; no one-minute response is promised.

04What does it cost?

It is delivered through an AI Implementation Sprint, quoted fixed in writing before work begins. If a scoped workflow is not live in your operation within 90 days, we keep building at no charge until it is.

Next step

One workflow. A written first step.

Describe the task and the tools involved. Christopher Myers reviews your free workflow plan, emailed within 24 hours, with an initial recommendation on where to start and what needs scoping. No call or purchase required. The plan is not a paid audit or a fixed implementation quote.
